Here's how to actually fix it, not just manage around it.

Why This Happens More During Remote Work

Office laptops are frequently used on a proper desk, docked, sometimes with better airflow and shorter continuous sessions punctuated by meetings elsewhere in the building. At home, it's common to run the same laptop for eight or more continuous hours, often on a couch, bed, or lap, on soft surfaces that block the ventilation the laptop was designed around, while simultaneously running video calls all day — one of the most processor- and graphics-intensive tasks a laptop regularly performs.

Step 1: Check Where Heat Is Actually Escaping (Or Not)

Almost every laptop draws in cool air from vents on the bottom or sides and exhausts hot air out the back or side. If that intake is resting on a soft surface — a bed, couch, blanket, or your lap — airflow is significantly restricted, and internal temperatures climb even under normal use.

Fix: Use a hard, flat surface. A basic laptop stand or even a large book on a hard desk makes a measurable difference, since it lifts the bottom vents clear of any surface. This single change resolves a surprising number of "my laptop suddenly overheats" complaints, because the laptop itself hasn't changed — the surface it's used on has.

Step 2: Clean Out Dust Buildup

What you can safely do yourself: Use a can of compressed air on the exterior vents to dislodge visible dust, with the laptop powered off and unplugged. Don't open the case yourself unless you're comfortable doing so and it doesn't void a warranty you still rely on — for most remote workers, exterior cleaning alone provides meaningful improvement.

Step 3: Identify What's Actually Driving the Load

Video calls are considerably more demanding than most other everyday tasks, and running one continuously for hours is a very different load than the intermittent use patterns most laptops are designed to handle comfortably.

Check what's contributing:

  • Background blur and virtual backgrounds are genuinely processor-intensive and add up over a full day of back-to-back calls

Occasionally, a single misbehaving application or a stuck update process consumes far more processing power than it should, generating heat with no obvious benefit to you. This is worth checking specifically if overheating started suddenly rather than gradually.

How to check: Open your system's built-in activity monitor (Task Manager on Windows, Activity Monitor on macOS) and sort by CPU usage. If one process is consuming a disproportionate share continuously, even when you're not actively using it, that's a strong candidate. Restarting the specific application, or the laptop entirely, often resolves it; if it recurs consistently, the application itself may need updating or reinstalling.

Step 5: Review Power and Performance Settings

Many laptops include a power mode setting, and running in a "high performance" mode continuously generates more heat than necessary for tasks like video calls and document work, which don't require peak processing power. Switching to a balanced or standard power mode for everyday work, reserving high performance for genuinely demanding tasks, reduces heat generation without a noticeable difference in day-to-day responsiveness.

Step 6: Consider External Cooling

If the above steps help but don't fully resolve the issue, a basic external laptop cooling pad with fans can meaningfully reduce operating temperature, particularly for laptops used continuously for long stretches. This is a reasonable middle step before assuming a hardware problem, and it's inexpensive relative to the alternative.

Step 7: Know When It's a Hardware Problem, Not a Usage Problem

If you've addressed surface, dust, background load, and power settings and the laptop still overheats or shuts down unexpectedly, especially under light use, the internal cooling system itself — fans, heat sink, or thermal paste — may need professional attention. Sudden shutdowns specifically (rather than gradual slowdown) are the laptop's thermal protection kicking in to prevent damage, and repeated shutdowns are a sign the underlying issue needs addressing rather than working around.
